This feature allows you to copy the transactions and the comments, if any, entered in another document into the current document. 

In addition to this option, you may also copy selected documents from the following context menu options on the Document entry grid screen: 

  • Documents → Copy document 
  • Documents → Copy to - Order, Purchase, Supplier return, Quote, Invoice or Credit note.

To copy transactions and comments from a selected document to another document: 

  1. Create a new document or edit a selected document.
  2. Click on the F11:Copy icon.

 

  1. The options to select an existing document to copy from, is as follows: 
  2. Select the document number and the account code of the debtor (customer / client) (if it is Invoices, Credit notes or Quotes), or the document number and the account code of your creditor (supplier / vendor) (Purchase, Supplier return documents or Orders). 

By default, the "Only this account" option will be selected (ticked). This means that only those documents generated for the selected debtor (customer / client) or the creditor (supplier / vendor) in the Document header will be listed. You may filter and search for documents using the following values: 

  • Document number - Enter a valid document number and click on the Filter button. 
  • Only this account - Deselect (remove the tick) this option and click on the Filter button to list all posted as well as unposted documents of debtor (customer / client) or creditor (supplier / vendor) accounts. 
  • All documents - Select (tick) this option and click on the Filter button to list all sales documents and purchase documents. 

If the "All documents" option is selected (ticked), take note of the document numbers:

The document numbers for Invoices, Credit notes, Quotes, Purchases, Supplier returns and Orders as prefixed in the Documents setup (Setup ribbon), makes it easy to identify the document type. 

In addition to these standard document numbers, the following documents may be included:

  • Stock adjustments - Document numbers prefixed with "ST" is a 7-digit document number. These are automatically generated when doing stock adjustments (changes in the quantities on hand). These stock adjustments does not show any transactions and it prints a blank Posted batch type reports.
  • BOM (Production) stock type - Assemble / Disassemble context menu options - Document numbers prefixed with"SA" will be a 7-digit number.
  • Project Quote -  Document numbers prefixed with"D" will be a 7-digit number.

It is recommended that you do not select these documents.

  1. Select a document on the list. 
  2. Click on the OK button. All the transactions as well as any comments and remarks, if any, will be copied into the current document.

You may need to: 

  • Edit remarks and comments.
  • Edit the transactions (change quantities, delete items or add items, etc.). 
  • You may need to use the Move up or Move down options on the context menu (document lines section) to set the sequence of transactions and / or comments. 

This feature can only be used to copy from sales documents for debtors (customers /clients) (i.e. Invoices, Credit notes and Quotes) and purchase documents for creditors (suppliers) (i.e. Purchase, Supplier returns and Orders). 

  • If any transactions in purchase documents (i.e. Purchase, Supplier returns and Orders) are copied to sales documents (i.e. Invoices, Credit notes and Quotes) the purchase prices will be indicated. You may then select any of the selling prices for the sales documents. 
  • If any transactions in sales documents (i.e. Invoices, Credit notes and Quotes) are copied to purchase documents (i.e. Purchase, Supplier returns and Orders) the selling prices will be indicated. You may then select any of the purchase prices for the purchase documents.
